How to file a complaint against a company

Most people only think to file a complaint after the emails stop getting answered. By then the goal is not to vent, it is to get the thing fixed. A complaint works when it reaches someone who can act on it, arrives with enough detail to be actioned, and carries a deadline.

Before you file: try the business once

One clear message to the business, in writing, resolves a surprising share of problems and it gives you a record. Keep it short, say what happened and what you want, and set a date. If you get nothing back, you now have evidence that you tried, which is the first thing any complaint process will ask for.

If you already did this and got silence, skip ahead. Silence is exactly the situation a filed complaint is for.

What to gather first

A complaint that can be acted on beats a complaint that is merely angry. Before you start, collect:

  • The legal or trading name of the business, and the location or branch if it has more than one.
  • Dates: when you bought, when the problem started, when you contacted them.
  • Amounts: what you paid, what you are out of pocket.
  • Receipts, order numbers, screenshots, photos, and any email or chat thread.
  • The outcome you actually want: a refund, a replacement, a repair, or simply an answer.

How to file a complaint on RDACTD

The form is a single page and takes a few minutes. You do not need an account with the business, an invoice number, or a lawyer.

  1. Search for the business. If it is not on file yet, you can add it while you file.
  2. Pick the complaint type, then describe what happened in your own words and attach anything you have.
  3. Say what would resolve it. This is the single biggest factor in whether you get a result.
  4. Submit. Your complaint is private, and your name is not shown to the business unless you choose to reveal it.
  5. The business is invited to respond. You can message back and forth inside the case to sort it out.

What happens after you submit

The business has five days to acknowledge the complaint. If it does, the two of you have a further ten days to reach a resolution while the case stays private. If it never acknowledges, or acknowledges and then lets the clock run out, the redaction lifts and the case file becomes public on the RDACTD record.

That is the whole mechanism. The business gets the first move and a real chance to fix it quietly. Ignoring a customer is what costs it something.

Writing a complaint that actually gets resolved

Lead with the facts in order, not with how you feel. Name one problem per complaint. Ask for one specific remedy. Keep it to a length someone will read all of, and attach the proof rather than describing it.

Avoid ultimatums and avoid anything you cannot back up. A complaint that reads as accurate and reasonable is much harder for a business to dismiss, and it is the version that holds up when it goes public.
